1c. InfoCenter-BPM (Business Process Management)
Your requirements:
Business processes are often not workable also they are adequately documented. This is caused by decisions wether made out of the system or not presentable in the system because the complete description of the processes is not guaranteed. Allover documentation of business activities, as required for QM systems, is often ensured only by using paper files. Changes of business processes need wide measures to train and inform the employees.
Our concept:
By using custom activity types business processes can be defined previously. All the required workflow functions, for example checklists, notifications, automated reshipment, ad hoc rules, and comprehensive security settings, can be defined for the activity types. Multiple activity types can be merged into one business process. Check lists, activity history and bundling of all information, documents, notices and emails, that were collected during one activity, are helping to document and comprehend the activity later on. Changes in business process rules can be defined and tested in advance, which ensures the implementation without major training effort.

2. Date Book/Appointment Calendar-TKL
Your requirements:
Besides standards as good overview, as many different views as poosible or a good structure, the reference to active business process within the appointment calendar is often required. Simple and quick access, regulated by access management and group views, to external scedules is essential. If possible resources such as cars, rooms or projectors should be managed as well in the appointment calendar.
Our concept:
Dates are not handled as single dates but directly implemented into business processes, projects and activities. Documents, emails, notes and so on, that are part of the current activity, can be accessed from the appointment calendar. In combination with the time recording system, the work center calendar and the absence management the appointment calendar povides holidays and public holidays, even regional variations. 3. MailCenter-Email
Your requirements:
Nowadays communication with customers, interested parties and business partners relies more and more on email, even in B2C (business to customer) dealings. Many emails have widely replaced the conventional business letter and serve as contracts, or at least as firm commitments. For documentation and the purposes of due diligence such emails have to be stored and archived. Some large organizations also use their email system to share information internally with the disadvantage that the recipients often do not want this information and each of them has to organize it individually for themselves; however, when they need it, they may not be able to find it, because they do not have access to other people's mailboxes, where it may be stored. Users in key positions continually complain about the quantity and the complexity of emails and the lack of content filtering or content-related spam filtering.
Our concept:
To avoid breaks in business processes and the flow of information, Sta*Ware decided quite early to develop its own mailing system. This ensures complete documentation, traceability and automatic assignment to the appropriate context, that is, to the appropriate business activity. Besides the standard features of a mailing system, Sta*Ware has created some features essential for the internal distribution of information, to avoid the annoyance of repeatedly forwarded emails. Emails are required only to communicate with people outside the organization. Filing and archiving emails is done in the same way Sta*Ware organizes files and documents. Sophisticated right management separates private from business-relevant emails and permits access to other people's emails according to the users rights on a project. Comprehensive functions for filtering and searching, including full text search, are available.
Features:

4a. DocuCenter-DMS (Document Management System)
Your requirements:
Each document has to be stored electronically. Each file must be classified and accessible according to an authorisation scheme. Searching for and within documents must be as simple as possible without using the Windows explorer. Documents that are no longer needed must be archived and protected against further write accesses, or must be deleted. If possible document should be accessible on a local notebook for customer visits.
Our concept:
Sta*Ware implements complete document management in their CRM, ERP and project modules. Associating several documents with activities, processes, and projects enables the user to grasp the entire history of the documents at any time. Even incoming and outgoing emails linked with a particular document can be displayed in the integrated email client. When generating new documents, the user chooses from a variety of context-dependent templates and sets the primary attributes: title, author, type, mode, language, and so on. The document is then created in a directory that is administratively predefined, automatically named, opend and filled with data (MS Office). A scanner modul, drawing administration, integration of internet links and archive functions complete the document management. With that paper or filing cabinets are dispensable for the daily work.
Features:
- automated depostion of files in filesystem by preconfigured rules
- overall deposition regardless of location via UNC
- administration of models and templates connected to persons in charge and to activity and process types
- electronic project file with output/export function for Notebooks or customer/client documentation
- automated PDF generation

4b. DMS-MS Office Interface - Sta*Ware COM Server
Your requirements:
Easy, safe and quick creation of documents, especially for MS Office, saves time and prevents user errors, which affect the business in a negative way. Even unskilled users should be able to write perfect business letters without the annoyance of having to type addresses, titles, items on offer or other data that is obvious, well-known or has already been collected. The documents should be prepared for each business activity and multilingual wherever applicable.
Our concept:
By using an MS Office interface, Sta*Ware can fill in arrays and data fields in MSOffice documents from the database. When opening such a document in Sta*Ware InfoCenter, an update mechanism fills the marked passages with the appropriate data from the current activity, process or project context. Templates are easy to create because the passages to be filled in are defined in bookmarks, whose name specifies the data that will be inserted later. The Sta*Ware COM Server is only active at the moment when the document will be opened. With that the standard installation of MS Office is sufficient.
Features:
- COM server opens MS Office documents and defines and completes bookmarks with values from the database
- users can change and save documents
- existing documents can be updated again at any time
- around 600 standard bookmarks are included
- administrators can create further bookmarks as required
- for offered items, lists of involved parties or other data with a 1:N relation a bookmark mechanism in table form is provided; for this mechanism one line of the table has to be defined, the copying will be done automatically
- any data field in the database can be used
- templates dependent on country, language and user are provided for the transfer of optimized addresses, titles, headers, footers and signature rules
- supports starting from MS Office 2000
Your Benefits:
- quick and easy generation of MS Office documents
- immediate and complete implementation of a corporate identity
- considerable reduction in the number of templates
- business documents, company names, GF-changes, and so on can be modified quickly and easily because they can be configured in the database
- optimized address lines, headers and footers depending on the addressee's nationality can be defined without extra template or model
- business documents, such as offers, orders and invoices, are retained, including all their alterations, as archives

5a. Project Governance - PMS (Project Management System)
Your requirements:
While the predominant requirement for a project control system is the ability to handle projects in a simple and straightforward way, QM matters are increasingly coming to the fore. Although regular meetings in projects are still quite common in many companies and will continue to be, the additional use of modern communication tools can save a lot of time.
Our concept:
Sta*Ware links individual activities and processes from the InfoCenter into projects, which can be part of a lead project or contain projects themselves. By use of the project tree or the search fields, users can quickly and selectively switch from one project to another and check all topics connected with a project: work progress, project team, checklists, time limits, deadlines, scheduling, emails, control figures, calculations, budgets, material usage, and so on. That way the project leader (or user) is able to recognize changes and counteract immediately depending on his rights. Project planning and controlling are two more tools available.
Features:
- multiproject-system
- project hierarchy including any number of subprojects
- phases for delimiting sections of the project by time or for classifying activities and processes within the project according to content
- electronic project file for emails and documents
- version control for customer documents, for example plans, reports, and contracts

- definition of project teams including internal and external staff
- members of the project team are automatically allocated and linked to a project
- simple internal allocation of tasks by project managers
- clearly laid out project and task lists
- forum function for distribution of regular meeting tasks
- direct linkage with ERP sales and purchase: offers, orders, invoices, etc. are generated with reference to projects
- model projects respectively finished projects as copy draft
- sophisticated authorization scheme based on divisions, locations and team membership
- overall deposition regardless of location
Your Benefits:
- information about the current project status quickly and easily available
- direct integration with CRM, ERP and document management
- explicit electronic control of projects by the project manager with the facility to handle deadlines and resubmissions
|
|
5b. Project Planning - PMS
Your requirements:
The main questions regarding project planning are: "When is the deadline of which issue?", "What comes first and what is more important?" and "Who is able to do it?". Frequently several projects have to be processed at the same time. When this happens, projects already planned often have to be altered quickly because of external changes to deadlines, dates, or project details. For customer meetings graphical project plans are very important.
Our concept:
Project planning is part of project management and has predefined templates. The user decides, if and how detailed he likes to plan a project. He/She can use predefined templates or copy already finished projects. For the project additional steps, checkpoints or dependencies can be implemented. Using the necessary resources and dependencies, the planning mechanism arranges the steps and phases on the timeline regarding the requested resources and draws the critical path. Steps and phases planned automatically can be moved manually, when dependencies permit. Completed tasks are directly factored into the project planning respectively into an individual todo-list, which consists of may projects. Finished duties and closed checkpoints will be entered directly into the project planning. For each step or phase, the actual working times recorded for the resources are compared with the estimated values.
Features:
- project planning based on predefined templates
- order of steps and phases can be configured in regard to dependencies (like start-after-start, start-after-end, start-before-end, etc.) and with a fixed delay
- expansion of steps or phases can be predefined, or can be made to result from dependencies on other preceding or succeeding steps or phases
- allocation of resources by step or phase (in hours or days)
- via planning mechanism (in the middle, everything to the back, etc.) the critical path will be calculated at any time
- checkpoints mark decision-points or uncertain, external, future influences
- 'GANTT' chart for displaying projects
- graphical interface for controlling the efficiency of resources
- planned steps or phases are automatically allocated to users via their task lists in InfoCenter
- finished steps or phases are automatically marked and will not be considered for redesigns
- steps or phases only partially completed are planned using only those planned hours or days that remain (only with the Sta*Ware time recording module)
- ability to freeze steps, phases and checkpoints, so that they can not be changed by further plannings
Your Benefits:
- direct integration with InfoCenter, ERP and time recording modules, so that automatic feedback is at hand
- project schedules for customers and business partners are clear depictions of the current project status rather than appearing to be elaborate artwork
- checklists, which very often already exist for QM reasons, are part of the planning engine and automatically influence the current project schedule
- creating new projects or replanning or rescheduling existing projects, including reallocating tasks because of changes, is simple and quick

|
5c. Project Controlling - PMS
Your requirements:
Project managers need the latest figures from sales and purchasing, details of materials consumption, information from financial accounting and project control, and project invoices to be available at any time.
Our concept:
On the basis of the project structure, which can be defined in InfoCenter, the project manager is able to produce estimates at any level of detail. For a new project estimates can be based on templates or derived from existing projects. They can be adjusted during the project's lifetime, but the current state can be documented. The budget management is now able to define budgets within each cost type based on this estimate and a potentially received order. For an internal project, where there is no order, the budget will be assigned to the appropriate major projects. Predefined key figures/financial ratios enable users to control a project's success and budget compliance at any time. With the project reports it is very easy to filter and analyse the project stock.

Sta*Ware is specifically designed around project-related business models: it is not standard inventory management software, so only requirements of those businesses are considered. Mostly internal work and effort linked to produced items and additional merchandise will be offered as final product in midget series or commissioned work. Nevertheless material management has also be intergrated for those companies, to avoid an extra systems because of interface problems and redundancy.
Our concept:
By integrating the main features of inventory management and materials management, Sta*Ware makes the organization of business processes that deal with items or goods considerably more efficient. Through the management of serial numbers and warranty periods and the display of items and products purchased or sold, users can obtain a quick and easy overview from within any project. The items can be called up in the purchase and sales vouchers, can be booked into the inventory or allocated to production. 7a. InfoCenter - Time Recording - HR
Your requirements:
Besides quick and easy time recording for office jobs the essential requirement is "booking on correct projects". Comparing the automation of production and time recording in offices shows the need of improvement. Time recording should not directly evaluate performance, but should support the records and make project estimates clearer. Integration with payroll and accounting and the transfer of data to financial accounting or KORE software is important.
Our concept:
Because time recording requires task and project references, the determination of effective working hours for each employee also serves as the basis for calculating effective working hours on projects so that no additional calculations or consolidation of effective working hour figures are required. All that has to be entered is the type of activity and the number of hours or the clock in and clock out times, depending on the configuration. Users can alter or delete records at any time during the current block of records but once the block is submitted, only those with special rights can make adjustments. This ensures the reliability of the figures for the project governance, and minimizes the administration expenses for changes within the bookings. The users can only choose between a few projects for booking depending on their rights. The project leaders of the booked projects are receiving automatically an inspection note, so that they can recognize e.g. changed figures early at the end of the month.
Features:
- daily pro rata recording for activities and projects
- recording of types of activity, number of hours, and notes
- blocks of records locked once submitted to protect data for previous time periods
- details for individual time booking on a project can be adjusted by those with appropriate project management, project team, department, location, or group rights

- automatic notification of the project leaders when times are booked
- ability to collect data also for external resources and employees via WEB portal
Your Benefits:
- project control data immediately updated

7b. InfoCenter - Attendance Recording - HR
Your requirements:
It is important to be able to record not only the hours worked in offices but also the hours staff attend in projects. Frequently this is solved by using two separate recording systems.
Our concept:
Sta*Ware offers a single simple and easy-to-use time recording system that allows the derivation both of the hours staff attend and of the data needed to prepare the monthly journals with breakdown of wages and costs. Together with the business trip option, it covers all the internal project control requirements of the organization, as well the transfer of figures to the payroll system. Absences, for example, illness or holidays, are directly implemented in the date book/diary, without the need for separate entries in the time recording system.
Features:

7c. InfoCenter - Business Trip - HR
Your requirements:
Because of the complicated mandatory regulations relating to expenses connected with business trips, accounting for them can involve considerable effort so a central software system is required.
Our concept:
In the monthly journal, the business trip, including approval and documentation, is represented as a separate business process and is allocated a separate accounting column. It is possible to differentiate between work and travel hours based on predefined rules, such as "travel at weekends always counts as work hours" or "travel on work days counts as work hours only if the effective work hours are less than the daily target". Work hours, but not travel hours, are calculated at the cost rate for the resource and therefore travel hours are not charged to the projects. Nevertheless, travel hours are included in the monthly journal calculations and so in the payroll. Sta*Ware can also maintain accounts for actual travel expenses, including allowances/flat charges, and calculate the appropriate rates according to the country and the length of time involved. Documentation of expenses can be entered automatically via the financial accounting interface. If signing is still required, prepared reports are available.
Features:
- business expense integrated into InfoCenter as a business process, including approval and documentation
- ability to record hours and costs simply and quickly via time recording
- separate column for travel hours in the monthly journal
- predefined rules for calculating actual travel and work hours during trips

9. InfoCenter - CTI (Computer Telephony Integration)
Your requirements:
The main requirements for any CTI system are quick and easy handling of incoming calls, automatic number recognition, and the availability of qualified information and caller data at a glance. In addition, sales contacts should be automatically recorded and a history maintained of call lists with follow-ups and there should be a central register of all contacts.
Our concept:
Sta*Ware software provides a modern CTI solution based on the contact and address index of the CRM module. The access rights for address groups, and the ability to hold private and confidential addresses cover security concerns. Each contact can have unlimited phone numbers, with the ability to enter details of country, city, exchange, and extension. International area codes and all European area codes are already part of the master data. Automatic number recognition works even when the system adds or removes leading zeros, country codes, or area codes. By recognizing the caller the user is able to access the open activities immediately and give qualified information, complete existing activities or create a new activity. The person in charge of an activity will be informed automatically.

10. InfoCenter - Synchronization for Handhelds-PDA
Your requirements:
It is becoming ever more important to be able to distribute appointments, emails, and contact data automatically to handheld devices and to transfer emails and appointments from the handhelds to the company database. As far as possible, this synchronization should work anywhere and not only when the device is connected to the office PC.
Our concept:
Sta*Ware software provides a mechanism for synchronizing selected objects, for example, contacts, addresses, appointments, notes, tasks, and emails. Synthesis PRO server software, which is connected to the database, carries out the synchronization using the standard SYNC ML protocol. The configuration of the handheld devices is largely unchanged and the synchronized objects are displayed using the software supplied with the handheld device. The administrator manages the data stream to and from the handheld devices with settings in the configuration. In doing so it is ensured that existing contacts and adresses of the central data base will not be changed by entries of the handheld devices. It is also possible to check for duplicates before data from the handheld device is transferred to the company database.
Features:
- synchronization of contacts, appointments, tasks, notes, and emails
- synchronization using SYNC ML with Synthesis PRO Server Version 3.0x
- specific Sync ML clients for a wide variety of handheld devices available from Synthesis
- synchronization using any protocol requested by the handheld device

11. InfoCenter - WebPortal
Your requirements:
Many users want online access via the internet to company data, not just emails or appointments, but the entire set of data and documents for a particular project or customer. It should also be possible to integrate simply data about interested parties, customers, suppliers or external resources with the business processes of the company.
Our concept:
Via the Internet Portal, Sta*Ware provides standard software that permits access to the customer database over the internet. The portal covers the main functions of the Sta*Ware InfoCenter, that is, mail searching, data recall, time recording, document management, and so on. Customers can adapt or develop it themselves and integrate it with their websites; but in general the programming of not cost-effective and not maintable unique solutions will be avoided.

12. InfoCenter - Data Export and Import-XLS
Your requirements:
A key feature of any modern software system is a facility for users to export data quickly and easily for further processing. Equally important are facilities to replicate data into external storage, carry out initial loading of financial accounting data and of call-center lists into the current Sta*Ware data inventory.
Our concept:
For data export Sta*Ware has created a simple and intuitive template, that can be accessed from any result table. In this way the exported data always consists of the records currently selected and found. The settings for the columns to be exported and their sequence and sorting can be saved and reused for future exports. Also the data import can be done at any time by a skilled user. Before importing from Excel, tables are analyzed in detail and transferred to the database. After that the user can allocate the adequate columns in Sta*Ware. Foreign keys that are part of an Excel table can be marked as such, so that repeated imports of these keys requires only update and not insert, thus avoiding duplicate datasets. Even if there are no foreign keys, the Sta*Ware duplicate check can be activated before generating the datasets. Using the same mechanism it is possible to import XML datas via time control directly into the databased. Needed definitions of column allocation, marking of foreign keys, and so on is done in the XLST files of the database.
Features:
- foreign key administration for imported data
- multiple import of received data via update function possible
- duplicate checking when importing data
- data import of any type of Excel table
- easy allocation of Excel columns to Sta*Ware columns
