Part of this CRM solution are, among other things, master (file) data for persons and addresses, which can be pooled in company or customer/supplier groups. For analysis purposes users can add any supplementary data, documents, images and notes per contact or address. At the same time this CRM software represents all sales processes (e.g. telephone call, serial mailing, visit, offer, order/contract) and lodges/stores the relevant documents. In this way a comprehensive "history" of persons or addresses is automatically generated. An elaborate authorization system ensures safe accessing and editing of data. Unlike other CRM packages the StaWare software is not an isolated application, but an integrated module of the business software "InfoCenter" (among other things: project governance and controlling, materials administration, enterprise security management, web portal for customers/interested parties). By this integration in this business software, users are not only able to manage their documents and information with reference to persons and addresses, but at the same time they can administer the projects they belong to. On top of that this CRM solution has a TAPI (Telephony Application Programming Interface) for integrating the telecommunication plus synchronisation of PDAs for field staff. | 3. Workflow: The essential at a glance
In hall 5, booth D31, StaWare presents the ERP solution "InfoCenter" , on which the spam/inbox filter is based. On one hand this business software incorporates the distribution of information and the process and document management, on the other hand the complete features for the business sector including interfaces for major financial accounting systems. One of the main advantages of this filter is: As an integrated module of the ERP solution "InfoCenter" it is not only linked with the address master data, but it also recognizes (unlike other programs such as "Outlook" e.g.) all processes, documents and so on, that accumulate during project work. In this way the users (architects or engineers e.g.) can exactly define if and which Emails should be attached to which projects. Answers on posted Emails are automatically attached to the appropriate processes and personnel. As well as incoming Emails with "CCs" are automatically treated as "forum processes" . The filter "scans" the entire content of incoming Emails for all criteria that come into question (sender, receiver, subject, body, header and tags of upstream anti-virus software). The rules concerning these criteria are user-defined and can be easily set by clicking through a template. In doing so, exclusion and inclusion criteria for unknown or partially known senders can be configured (e.g. "xyz@bmw.de" is known, while "bmw.de" is partially known) The defined rules, which the filter processes according to the priority they got by the user, can be a "Blacklist" (search for unwanted expressions and key words) or as "Whitelist" (search for confidential and desired persons, companies and so on). Especially the latter method is indispensable for the professional Workflow within the scope of a project, because the Emails found with the help of the "Whitelist" are automatically attached to a project. So users immediately receive Emails that are related to a certain project. The spam/inbox filter is a tool that is integrated in the StaWare "InfoCenter". | 4. ERP: Efficient Use of Resources
To have a proper analysis of the use of resources within the scope of a project is essential for determining the participation of particular resources in certain processes. Thus, deviations of resources from the single phases, which had been defined before the start of the project, can be recognized early enough. Resources can be members of staff, external persons, material or simply tools or items, that are available only in limited numbers. With this StaWare planning tool, project leaders are able to consider labour times, holidays or dates already during the planning period, or define a project with anonymous resources. This can for example be useful, when at the start it is unclear which person will later on be working on which part or work step of the project. When starting the project, the single project phases are activated, assigned to the respective resources and provided with a start and an end date. The capacity/load of the single resources can be read off an indicator/report every day. For this purpose the planning tool has a mechanism that, among other things, automatically moves the scheduling forwards or backwards. Completed phases are automatically removed from the planning. In combination with the time recording module the progress of the project can be reliably estimated. The planning tool is integrated into the StaWare ERP solution "InfoCenter". The implementation, including employee training, takes about three days (administrator training about two weeks). | 5. Flexible time management
"The time recording module is particularly suitable for architects and engineers, because it can easily and flexibly be adjusted to their project phases" , says Christian Paucksch, general manager of the Starnberg based ERP specialist StaWare GmbH. While being easy to operate, this solution always assures an immediate overview of projects, without additional expenses for interfaces between individual/standalone systems. And this is how the time recording is done: For every month, the users' time postings are listed in a well-arranged journal and compared to the daily target hours. From this journal, companies can generate an attendance overview with definable wage types and formulas. From this, in turn, the overtime, night shift premiums, weekend working, flex-time balances and holidays per day/week/month/year can automatically be determined. Holidays and other special exception days directly correspond with the integrated timetable, where they are marked accordingly. It is quite easy to export the postings from the journal for the generation of wage accountings. Besides the monthly journal, the time recording can also generate target hours on the basis of day- or week time models, which can be used to reproduce complicated part time and collective wage agreements, if desired. The actual working times/hours are evaluated with hourly rates (e.g. for full costs, partial costs, incremental costs) and are directly incorporated in the project controlling, without additional calculation runs. Full cost sums can also be determined, depending on type of activity or a combination of person and activity. Time postings can be made for any kind of resources (cars, rooms, people, and so on). Their reservations from the timetable can directly be adopted in the time recording. A "recording block" protects against subsequent changes in projects that have already been invoiced in the past. The time recording module (120,00,- Euro per user) has different authorization levels that provide an elegant way of setting the "posting rights" per project and user. | 6. Controlling: This is how projects succeed
This Controlling module stands out because it is not an isolated system, but it establishes a complete connection with Emails and documents. Thus, duplicate project master data or complicated interfaces can be eliminated from the first. With the help of this module, the project planning as well as the state of individual tasks of a project can be presented in an integrated, so-called "GANTT"-diagram. It is always possible to add additional tasks per drag & drop and running phases can be rearranged. In doing so, the chronology of all activities is always updated and graphically represented in the form of a bar on a timeline. On top of that, the project leader (controller) gets any form of reports and graphic charts, which are based on the accumulated project figures/ratio, from the "Crystal Reports" interface. In that way the project leader/controller is always kept informed of the current state of the project. In case of deviations he can run the default project analysis or start a fast analysis of the details (drilldown-function) and take appropriate actions. This is how bottlenecks, budget variances or missed deadlines can be avoided, for example when a customer's requirements change during a project. The software arranges the obligate work processes on the projects runtime and checks at the same time, if the completion of the project is accomplishable. One advantage is, that the project leader does not have to mark the completed work steps manually, but that all processes in the project plan are automatically updated and completed by the actions of the responsible person in charge. This allows for a flexible re-planning/scheduling with time recording and indication of the use of resources, the project process and the development of costs when key figures or financial ratio change. Such a re-planning, which the project leader can schedule regularly, can become necessary when comparing target and actual business results. Potential deviations in the scope of the project become instantly obvious, are analysed and the results are documented in the database. By this means the project leader/controller knows about mistakes and causes, which he can avoid when planning new projects. The Controlling module is based on the ERP solution "InfoCenter". All information is collected centrally and not, as with conventional mailing systems, spread over reams of different mailboxes. Incoming E-mails together with attached documents are automatically filed in the recipients project folders, as defined by the administrator, to ensure that all project relevant information is always available. This saves an internal, manual forwarding of E-mails, for example when a whole group of persons is in charge of a project. They automatically receive the E-mails for their attention and they can immediatly access all information and documents by the help of a special function called "Forum". On top of that, an easy to handle Mail-client supports the users in communicating with external E-mail recipients efficiently. "MailCenter" allows sharing of mailboxes between individual users. This is how it works: By clicking on the respective signature in the Mailclient, the user chooses the required position (e.g. sales@musterfirma.de or support@musterfirma.de). At the same time the text in the signature (telephone and/or mobile phone number) changes. The respective mailboxes (e.g. sales@musterfirma.de) can be shared by differing numbers of users. Indeed the E-mails come in only once, but every user receives a note for a new E-mail and direct access to it.
